Withdrawal Policy – API Study Abroad Programs

Once a student has officially confirmed their participation in an API program by submitting an Intent to Enroll form and the confirmation deposit (if not covered by the student’s home university), students become subject to the standard cancellation policy as follows:

  • Program cancellations and requests for refunds must be made in writing.
  • Refunds and cost liability are determined based on the date when written cancellation notice is received from the student.
WITHDRAWAL 61 OR MORE DAYS PRIOR TO PROGRAM START DATE: the student is responsible for the application and confirmation deposits, as well as any additional fees accrued.
WITHDRAWAL 1 – 60 DAYS PRIOR TO THE PROGRAM START DATE: the student is responsible for 50% of the program cost plus the application and confirmation deposits, as well as any additional fees accrued.
WITHDRAWAL ON THE PROGRAM START DATE OR AFTER THE PROGRAM HAS BEGUN: the student is responsible for 100% of the program cost as well as any additional fees accrued.
  • The application deposit is non-refundable unless a student is not admitted into the API program or the API program is cancelled.
  • Once submitted, the confirmation payment is non-refundable.
  • No refund is given if a student is removed from a program as a result of a violation of API’s Study Abroad Agreement, which is included in the acceptance packet. No housing refunds are granted if students are removed from housing due to failure to abide by housing regulations.
  • Students are responsible for program fees according to the above schedule. Should a student withdraw within the time frame listed above having not paid the due portion of the program fee, they are invoiced for the portion due and held responsible for paying that amount.
  • API offers Program Withdrawal Safeguard (PWS) for its participants as an optional service. PWS is designed to safeguard program participants’ financial investment in their study abroad experience in case of program withdrawal for any reason. Please refer to the PWS section of this website for more details.
Academic Year Students:

Upon arrival in-country, some students decide that an academic year of study is not the right choice for them. Students can minimize withdrawal penalties if they withdraw from the second session prior to the API winter/spring payment deadline. If early notification of withdrawal is received in writing by the API Texas office, the student’s program price will be changed to the standard price for a fall session and the student will be assessed a withdrawal fee of $550. In instances, however, in which API has already made payments on the student’s behalf for the full year that are non-refundable (i.e. tuition), the student would also be assessed a penalty for the pre-paid, non-refundable fees. Students who notify us of their intent to withdraw after the winter/spring payment deadline will be responsible the full year program cost.

Withdrawal Policy – API Internships

Once an applicant has officially confirmed their participation in an API program by submitting the Intent to Enroll form and making the confirmation payment, they become subject to the standard cancellation policy as follows:

  • Program cancellations and requests for refunds must be made in writing.
  • Refunds and cost liability are determined based on the date when written cancellation notice is received from the student.
Withdrawal after confirmation payment has been received and before an internship offer is accepted: The application deposit and confirmation payment (if paid) are non-refundable.
Withdrawal after acceptance of internship offer and 61 or more days prior to program start date: The applicant is responsible for the application deposit and confirmation payment, as well as an additional US $1,000.
Withdrawal 1 – 60 days prior to the program start date: the applicant is responsible for 50% of the program cost plus the application deposit and confirmation payment.
Withdrawal on the program start date or after the program has begun: the student is responsible for 100% of program cost.
  • The application deposit is non-refundable unless an applicant is not admitted into the API program, the API program is cancelled, or API fails to identify any placement options for the applicant.
  • The confirmation deposit is non-refundable unless an applicant is not extended an internship offer. Failure to accept the internship offer does not entitle applicants to a refund of the confirmation deposit.
  • No refund is given if a participant is removed from a program as a result of a violation of API’s Participant Agreement, which is included in the acceptance packet.
  • No housing refunds are granted if participants are removed from housing due to failure to abide by housing regulations.
  • Applicants are responsible for program fees according to the above schedule. Should an applicant withdraw within the time frame listed above, having not paid the due portion of the program fee, they are invoiced for the portion due and held responsible for paying that amount.
